A check-in workflow has two jobs: let an active member enter quickly and give the gym a reliable attendance record. Searching a name on a list makes both jobs slower.
The operating problem
GymFlow uses QR check-in to validate the active subscription and record the visit. The front desk can review the membership status without maintaining a separate paper register.
The QR check-in flow
- Member opens the QR code: The member opens the GymFlow profile link in a browser on their phone.
- Reception scans the code: Staff use the check-in workflow to scan the member's code at the gym entrance.
- Subscription is checked: GymFlow checks the active subscription and applicable session balance before recording the visit.
- The visit becomes a record: The timestamped visit is available for attendance review and reporting.
Before switching from manual check-in
- Put the QR check-in workflow at the entrance.
- Tell members where to find their code.
- Decide who reviews a denied check-in.
- Keep the subscription record current.
- Review attendance reports regularly.
