Scope and roles

GymFlow provides software and related support services to gyms, studios, and fitness businesses. In most cases, the customer controls the business and member data entered into the service, and GymFlow processes that data to operate the platform.

Customers remain responsible for using the service lawfully, including sending member communications only where they have the right basis, notice, or consent required for their market.

Data categories

  • Business account information such as gym name, branch details, owner or staff contact details, and billing or onboarding records.
  • Member records such as names, phone numbers, attendance history, subscription status, payment status, and operational notes entered by the customer.
  • Technical and security information such as device, browser, IP-derived logs, audit trails, and troubleshooting records needed to secure and support the service.

How GymFlow uses data

  • To authenticate users, operate dashboards, process attendance, manage subscriptions, and deliver customer-requested workflows such as reports or WhatsApp automations.
  • To secure the service, investigate incidents, prevent abuse, and maintain backups, logs, and operational resilience.
  • To support onboarding, migration, customer support, and service improvement using aggregated or operational information.

Service providers and data sharing

GymFlow may use third-party infrastructure and software providers for hosting, authentication, storage, backups, analytics on public pages, communication tooling, and support operations. Information is shared with those providers only to the extent reasonably needed to run or support the service.

GymFlow does not sell customer member lists to unrelated third parties for their own marketing use.

Retention, security, and requests

GymFlow keeps data for as long as reasonably needed to provide the service, meet support and security obligations, and comply with applicable legal or recordkeeping requirements. Retention may also depend on customer instructions and subscription status.
