Personal Training Session Tracking: Keep Packs, Attendance, and Follow-Up Clear
2026-09-19GymFlow Teamguide
Personal training becomes hard to manage when a trainer's session count lives in a notebook and the owner's payment record lives somewhere else. The client needs a clear balance, and the gym needs a record of what happened.
The operating problem
GymFlow supports session-based records, client management, attendance, and renewal follow-up. Use the workflow to separate a booked session, a completed session, and a remaining balance.
A PT session workflow
- Define the pack: Record the session plan and the balance that belongs to the client.
- Schedule the session: Keep the trainer, client, and expected session context visible to the team.
- Record attendance: Mark the session result so the balance and client history do not depend on memory.
- Review the next step: When the balance is low or the plan is ending, organise the next owner-approved follow-up.
PT workflow checklist
- Each client has a visible balance.
- The trainer and front desk use the same record.
- Completed sessions are recorded promptly.
- Missed sessions follow the gym's policy.
- Renewal follow-up has a clear owner.
