A freeze is not a note in a chat. It changes the membership timeline and the next conversation with the member. If the pause is not recorded clearly, the front desk may use the wrong expiry date.
The operating problem
GymFlow records the freeze period and the updated expiry date. The team can review the member's current status before checking the next visit or renewal step.
A freeze-and-return workflow
- Confirm the policy: Decide when a freeze is allowed and what the gym records for the member.
- Record the freeze: Save the freeze period and the resulting expiry date in the subscription record.
- Protect class balance: Review how the freeze affects included class balance and do not consume a balance for the frozen period.
- Review the return: When the freeze ends, check the member's status and organise renewal follow-up if needed.
Freeze policy checklist
- The freeze reason follows the gym policy.
- The start and end dates are recorded.
- The expiry date is reviewed after the change.
- Class balance is not consumed during the freeze.
- The return step is visible to the front desk.
