Moving from a spreadsheet is not only uploading rows. The gym needs to know which fields matter, which subscriptions are active, and who will check the first records after import.
The operating problem
GymFlow supports importing or adding clients, then configuring plans, permissions, and reception workflows. A staged import lets the team correct records before the first busy day.
A controlled member import workflow
- List the source fields: Separate member identity, contact details, plan, expiry date, branch, and balance fields before mapping them.
- Clean before upload: Remove duplicate rows, confirm required values, and keep an original copy of the source file.
- Review the imported records: Check a sample of members, active subscriptions, expiry dates, and branch assignment before staff use the data.
- Run a reception rehearsal: Test search, check-in, subscription status, and the renewal workflow with the team.
Before the first import
- Keep the original source file.
- Agree on the branch mapping.
- Confirm active and expired plan rules.
- Review a sample after import.
- Train the front desk on the new record.
